Why it exists
Invoicing is the easy part. Everything after it isn’t.
The challenge
A distributor selling to stores deals with a lot of moving parts: each customer has its own prices, orders come back short or with returns, payments arrive in pieces, and every change affects stock. Generic invoicing tools only track the invoice, not everything that happens after it.
What we built
InvoiceMax follows each order from creation to final payment. Customer price lists, discounts and credits, deliveries, shorts, returns and partial payments all live on the order. Inventory updates as orders change, and balances are always one click away.
From paper ledger to one click
The owner still kept a handwritten ledger of orders next to the system because no screen showed her numbers the way she tracked them. We rebuilt that ledger as an Orders by Date report, matching her columns in her order: address, amount, short/return, discount, credit and amount paid, with notes she can edit right in the report. We revised it with her until it matched how she works, so the paper ledger is no longer needed.

Orders & invoices
Create orders with each customer’s own prices, add discounts or credits, and print clean PDF invoices.
Deliveries
Track every delivery and the employee who made it, with order status from pending delivery to paid.
Shorts & returns
Record short-shipped and returned products. Deductions are calculated and stock is adjusted for you.
Payments & balances
Take partial payments, see customer statements and know exactly who owes what at any time.
Inventory
Stock by warehouse, with every movement in and out recorded as orders change.
Pre-orders & purchases
Capture order requests before they become orders, and keep a record of every purchase.
Employees & payroll
Manage staff and record employee payments alongside the orders they handle.
Reports & dashboard
Sales, products sold, discounts, orders by date, inventory and outstanding debts at a glance.
Users, roles & audit log
Separate logins and roles for each user, with a log of who did what.
Built to last

InvoiceMax is built and maintained by our CTO, Abiezer Matos, and the Ant Technology engineering team. New features are still shaped with the client, one real workflow at a time.
